Instructions for Organizers

Conditions of publication

SSIPS Eng. Conferences Proceedings only publishes conference proceedings for conferences that have taken place, i.e. not in advance of the event. You should make your proposal before your conference happens, and if approved, we will ask you to supply a list of accepted papers (oral presentations), and a copy of your timetable. Publication of your proceedings will be contingent on delivery and approval of these documents. With this in mind, you will need to ensure you have planned for the review of abstract submissions, as Editorial Manager will only be made available after the conference.

Timelines and Planning

When a conference is accepted, we will indicate a timeline for

a. the submission of the program and oral presentation list,

b. when we will open the online portal for submissions,

c. the dates by when all revised manuscripts should be submitted and

d. the anticipated finalization date of the completed proceedings.

Institutional Email Addresses

Submissions sent from a non-institutional email address will be reviewed, but an institutional email address will be required for contract signatures. Please do not send your proposal anonymously or ‘from the committee’: submissions from conference email addresses without further identifying information may be rejected outright. We recommend that the person making the application is the person who will be responsible for editing the proceedings.

Conference Website

All applications should include a live conference website. Conferences who do not yet have this should defer application until the website is finalized.

Paper limit

We will only accept conferences of up to 120 papers. Individual authors may each publish a maximum of two papers in the proceedings (in any authorship position).

Time for Review

We aim to review all proposals in 4-6 weeks: please allow for this in your planning, as we are unable to accommodate requests for accelerated review owing to the volume of applications we receive.

Managing Submissions for a Conference

In the preparation of conference proceedings, we anticipate that organizers with follow a workflow broadly along the following lines:

  • Submission of Abstracts
  • Review of submitted abstracts by committee
  • Decision notifications to authors (oral presentation, poster, reject etc.) We note that some conferences may choose to request a full paper for review at this stage also.
  • Conference takes place
  • Preparation and submission of conference paper to partner proceedings title
  • Peer review of prepared by paper by conference committee and/or external reviewers
  • Rounds of review/revision as required
  • Final decision

Authors and guest editors should note that presentation at a conference or acceptance of an abstract does not guarantee publication of a paper in proceedings if the work does not meet required standards or is found to have breached ethical guidelines. While conference proceedings aim to create a record of the academic work and ideas shared at a conference, these papers must meet required standards. 

Peer Review of Conference Proceedings

Submitted conference proceedings papers must be subject to peer review by at least two independent, qualified reviewers in addition to the guest editor. These reviewers should be experienced in the field of study, and the reviews should offer meaningful feedback to authors. For general information about peer review, please go Here. In the event that your conference proposal is approved, guest editors must comply with our regulations, which are designed to ensure the ethical integrity and quality assurance of conference proceedings: these requirements are stipulated in our contract agreement.

Once your conference proceedings have been accepted for publication, please follow the instructions for editors carefully, to ensure smooth and timely publication.

SSIPS Eng. Conferences Proceedings’ editorial team communicates with the editors but not with chapter authors.

Integrity practice at SSIPS Eng. Conferences Proceedings

As a volume editor, you are responsible for the integrity of your work, and as such:

Contracting

Volume editors are responsible for ensuring that the corresponding author of each paper delivers a contract with their submitted paper.

Each contribution must be accompanied by a SSIPS Eng. Conferences Proceedings publishing agreement.

The corresponding author signs the agreement and accepts responsibility for releasing the material on behalf of any and all co-authors, having gained their permission to do so.

Modified agreements are not acceptable.

We will ask you for exclusive publication and dissemination rights. This will give you the best protection under copyright law.

Open access

Open access conference proceedings are made available immediately on publication via SSIPS Eng. Conferences Proceedings’ platform for all published content. The PDF files are freely available to download and HTML is also free to read.

Open access pricing

A conference processing charge covers all the costs of copyediting, proofreading, production, dissemination and promotion of our authors’ work, including online hosting and indexing.

Plagiarism checks

SSIPS Eng. Conferences Proceedings should contain original research that has neither been published nor submitted for publication elsewhere, and that adheres to our ethical standards.

Below you will find our guidelines and technical instructions for the preparation of proceedings papers. These may be stand-alone proceedings or part of a series.

Preparing your proceedings paper

For your convenience, we have summarized in the “Author Guidelines” document how a proceedings paper should be structured, how elements (headings, figures, references) should be formatted using our predefined styles, etc. We also give some insight on how your paper will be typeset at SSIPS Eng. Conference Proceedings.

The corresponding author must be available to check the paper before it is published. Please note that once a paper has been delivered to SSIPS Eng. Conference Proceedings changes relating to the authorship of the paper cannot be made. Authors’ names cannot be added or deleted, their order cannot be changed, and the corresponding author cannot be altered.

ORCID

ORCID (Open Researcher and Contributor ID) distinguishes you from every other researcher ensuring you receive proper credit for your work. We recommend that you apply for an ORCID and encourage authors to do likewise.

Open access

Authors interested in open access for their papers (open choice) should inform their volume editor as soon as possible. This information has to be available three weeks before the start of the publication process at the latest.

Special open access contracts should be signed and the full invoicing address should be provided as soon as possible. This information has to be available before the start of the publication process.

Accessibility

At SSIPS Eng. Conference Proceedings, we’re committed to Accessibility and we want to help you make your research accessible too. Many factors regarding accessibility are handled by SSIPS Eng. Conference Proceedings, but we request you to take some actions as well to help make your research accessible.

Write alternative text (alt text) for all figures, illustrations and tables.

Alternative text, also known as ‘alt text’, is a brief description that explains how an image looks or what purpose it serves in a digital format. Alt text is crucial for individuals using screen reader technology, as well as for those trying to comprehend the content of an image in case it doesn’t load.

Alt text is not the same as a caption, which typically provides information that is not already in the visual element itself.

Please note that if you are not able/not willing to create alt text, this will be created for you during the production process by an AI supported tool. You will be asked to edit/approve this text during the proofing stage.

Ensure that the figures display adequate color contrast and refrain from relying solely on color to communicate important or essential information.

Use the table feature of your editor to create tables. Keep tables simple and avoid nesting tables.
When writing a URL, consider users who must speak it out loud and who must listen to a screen reader announce it.
Do not capitalize all letters in the link text
Do not use the word ‘link’ as part of the link text.
Do use meaningful words to describe your link.

Proceedings Processing Charges

For open access conference proceedings, each paper accepted is charged at $50. Please note that open access must be agreed at a conference level, and that we cannot offer open access on individual papers in SSIPS Eng. Conferences Proceedings.
